This Privacy Policy describes the basic privacy practices for the HCCTS Supply Portal operated by Highlands Community Charter School. The Portal supports internal supply requests, inventory operations, approvals, and related administrative work.

• Information you provide, such as your name, HCCTS email address, department, school/site, request details, quantities, notes, and attachments.
• Operational records, such as request status, approvals, inventory transactions, audit entries, and timestamps.
• Limited browser/device information that may be generated by hosting and security services, such as IP address, request logs, and technical diagnostics.
• Local browser data used for convenience, such as cart contents, favorites, theme, and draft information.

How we use information

We use information to process and manage supply requests, administer inventory, maintain operational records, troubleshoot the Portal, protect the service, and support legitimate HCCTS business functions.

Service providers

The Portal may use service providers that support hosting, server functions, operational data storage, and file attachments, including Netlify, Coda, and Cloudinary. Information is shared with these providers only as needed to operate the Portal and is subject to the applicable organizational agreements and provider terms.

Sale and advertising

The Portal is not designed to sell personal information or use Portal information for targeted advertising.

Retention

Operational records may be retained for as long as HCCTS reasonably needs them for procurement, inventory, audit, security, recordkeeping, or legal requirements. Local browser data can generally be removed by clearing site data in your browser.

Security

HCCTS uses reasonable administrative and technical safeguards appropriate to this internal operational tool. No system can guarantee absolute security. Users should protect administrator credentials, avoid sharing access, and report suspected misuse promptly.

Access and corrections

For questions about information in the Portal, or to request a correction to an operational record, contact HCCTS Business Services or the HCCTS administrator responsible for the Portal.

Children and student information

This Portal is intended for HCCTS staff supply operations and is not intended to collect information directly from children or to serve as a student-record system. Student education records should not be entered into this Portal.

Changes

HCCTS may update this policy as the Portal, operational practices, or legal requirements change. The effective date above should be updated when material changes are published.
